Leads list on a phone with a critical job at the top

Ten leads in a day is only a good thing if you know which one to ring first. That is what urgency scoring is for.

Four levels, decided by the customer and the AI

The customer says how urgent it feels. The AI checks that against what they described, what they answered and what the photos show, then agrees or escalates. Customers under-report as often as they exaggerate. Someone with an active leak will often tick "medium" because they do not want to look dramatic — the answers give them away.

The triggers that escalate a job on their own

Each trade has a small set of answers that mean drop everything. They escalate a job to critical regardless of what the customer selected.
  • Electrical: a burning smell, visible sparks, total loss of power.
  • Heating: no heat or no hot water with vulnerable occupants in the property.
  • Plumbing: water actively running with the stopcock not isolated.
  • Locks: a customer locked out, or signs of forced entry.
  • Drainage: an overflowing drain or sewage indoors.

Your leads list sorts itself

Critical jobs sit at the top of the dashboard, newest first, then high, then everything else. Quote enquiries wait until the evening, which is where they belong. That ordering is the difference between ten leads feeling like growth and ten leads feeling like chaos.

Emergencies get flagged, not buried

A flagged emergency is visible on the mobile dashboard and in the notification you receive, so it does not get lost in a busy day. If you run a team, the same flag drives who gets told first — the alert goes to the assigned technician as well as the office.

What to do with the low-urgency pile

Do not throw it away. Quote enquiries convert at a lower rate but at a higher margin, and they are the work that fills a quiet February. A saved template and twenty minutes on a Thursday evening is usually the right amount of effort for that pile.

Common questions

Can I change the urgency on a job?
Yes. Urgency is a starting point; you can act on a job in whatever order your day actually allows.
Do customers see the urgency level?
They choose how urgent it feels, but the final score and the internal flags are only visible to you and your team.
What counts as critical?
Anything with a safety, security or active-damage element — burning smells, no heat for vulnerable occupants, running water, lockouts, sewage indoors.
